For a long time, sales managers have had to manually calculate quotations by checking multiple sets of data each week, including procurement costs from upstream manufacturers, port charges, exchange rates and company profit margins. Given the large number of suppliers and extensive product lines, the manual calculation process is not only time-consuming and labor-intensive, but also prone to oversights and calculation errors, which has hampered quotation efficiency and customer response speed.
To address this long-standing operational pain point, Zhang Chao, Manager of the Marketing Department, took the initiative to analyze and find solutions. After an in-depth review of key links in the quotation process, he developed a well-structured and practical Excel spreadsheet. This tool integrates product information (supplier catalogs, container types and loading volumes with or without pallets), expense categories (ocean freight for major ports) and embedded calculation formulas. Staff only need to update basic data on a regular basis — paste the weekly ocean freight sheet from the Logistics Department and input weekly supplier quotations or company guide prices. By simply selecting the destination port and filling in the payment term days on the quotation sheet, all relevant costs and the final quotation will be generated automatically. This has greatly cut down manual workload and effectively reduced error rates.
